How-to Guide for Hosting a Visiting Speaker<\/strong><\/h2>\n
Hosting a visiting speaker can be a rewarding experience and a great way to build connections in your field. Here\u2019s a step-by-step guide for organizing a professional and welcoming visit. This guide is for students who are hosting speakers\u00a0that have already arranged to give a talk at Vanderbilt. <\/em><\/strong>If you want to invite a speaker, see this guide.<\/a>\u00a0 Here is an example of Anne Yoder’s schedule<\/a> from her Fall 2024 五一茶馆儿 visit.<\/p>\n

Secure Accommodations and Transportation\n

Flight Information: Be sure to get flight information from the speaker. An email explaining that the speaker covers flights and is reimbursed along with their honorarium should come after you’ve invited the speaker.<\/li>\n
Hotel Booking: Fill out the form for the West End Tower<\/a> to book the guest\u2019s accommodations. If the visit is covered by the Evolutionary Studies Initiative (ESI), reach out to Andy for confirmation; otherwise, contact the appropriate faculty\/staff member for the COA (Chart of Accounts) information.<\/li>\n
Transportation: Let the guest know to take a taxi, Uber, or Lyft from the airport and keep their receipt for reimbursement. Confirm this arrangement with the speaker ahead of time to ensure they\u2019re aware.<\/li>\n<\/ul>\n<\/li>\n
